Zero-Trust Architecture as a Building Block for Digital Sovereignty

In many technical service teams, there is a dangerous pragmatism when it comes to communication: When things need to move quickly on-site or at the machine, private smartphones are used. Photos of defects, location data, and agreements on maintenance protocols end up in WhatsApp groups.
What seems efficient at the moment is a massive problem for the company. Not only from a GDPR perspective but also operationally: Information gets lost in private silos, is not documented for the headquarters, and is lost when an employee leaves the company. The solution for modern industrial service providers is Mattermost - integrated as a sovereign “ChatOps” hub.
For a technical service provider with around 180 field employees, it’s about more than just “sending messages.” In a sovereign platform architecture, Mattermost becomes the operational cockpit:
As soon as a new maintenance order for a customer is created in the ticket system (Zammad), the system automatically creates a dedicated channel in Mattermost in the background. All involved technicians are added. Communication starts immediately - in the right place, documented for everyone.
A technician on-site takes a photo of a defective component and posts it in the Mattermost channel. Through a simple integration (ChatOps), this image is automatically attached to the corresponding ticket. Colleagues at headquarters see the image in real-time without the technician having to write an email or switch apps.
The Mattermost app on service phones is securely connected to central identity management (SSO). When an employee leaves the company, access is centrally revoked. All project data remains on the company’s own servers in Germany - secure, encrypted, and auditable at any time.
Switching from private messengers to an integrated Mattermost instance is a quantum leap for technical teams. Communication becomes crisis-proof, documentation happens almost “incidentally,” and the flow of information between field service and headquarters is measurably accelerated. For service providers who want to present themselves professionally in the industrial sector, a sovereign business chat is not a “nice-to-have” but the foundation for secure processes.
Is Mattermost as easy to use as WhatsApp? Yes. The user interface is modern and intuitive. There are apps for iOS, Android, Windows, and macOS. Employees usually find their way around within minutes, as the basic functions (channels, direct messages, file transfer) are familiar.
Can we also integrate external partners or customers into Mattermost? Yes, Mattermost supports “Guest Accounts.” You can specifically invite external partners to individual channels. This way, all communication for a project takes place in one place without emails being sent back and forth.
What does “ChatOps” specifically mean for my daily work? ChatOps means you can initiate actions in other programs directly from the chat. Example: A technician enters /status-update part ordered in the chat, and the system automatically updates the ticket in the background.
How secure is the mobile use of Mattermost? In our architecture, mobile access is realized through secure gateways and modern encryption. Since the data is in your own Kubernetes cluster in Germany, you have full control over who accesses which information and when.
How does ayedo support the introduction of a messenger system? We not only set up the server but also build the bridges: We integrate Mattermost into your ticket system and document management. We ensure that communication takes place where it is most valuable for your business success.
